This explains how we look after personal information when you visit this website, message us or book sessions. Bright Minds Learning Co. is a trading name of Fatima Kinteh, a sole trader based in Oldbury.
Who is responsible for your information
Fatima Kinteh, trading as Bright Minds Learning Co., is the "controller" of the personal information described here. You can contact us at [email protected] or by WhatsApp.
What we collect and why
- When you message us on WhatsApp: your name, phone number, your child's age or school year, the subjects they need help with, and anything else you choose to tell us. We use this to reply, to arrange a free trial and to place your child in the right group.
- When your child attends: your child's first name, school year, attendance, homework and progress notes, and any learning or medical information you choose to share so we can look after them properly. We use this to teach, to keep your child safe and to send monthly progress updates.
- Emergency contact details, so we can reach you during a session.
- Payments: when you pay online, our payment provider collects your payment details. We receive confirmation of what was paid, but we do not see or store your full card number.
- Photos and testimonials: only with your written permission, and we will never publish a child's name or photo without it.
- Records we must keep, such as invoices and payment records, for tax purposes.
Our legal reasons for using it
- To provide the tuition you have asked for, and to take steps you request before booking (contract).
- To run our business and keep children safe (legitimate interests).
- To keep financial records (legal obligation).
- To send marketing messages, or to use photos and testimonials (your consent, which you can withdraw at any time).
Who we share it with
We only share information with services that help us run the business, and only what is needed. They are:
- WhatsApp (Meta), which carries our messages.
- Stripe, our payment provider, which takes online payments.
- Cloudflare, which hosts this website.
- Google Workspace (such as Gmail, Google Drive and Google Sheets), which we use for email and for keeping records.
- Our accountant or HMRC if required, and the police or other authorities if the law requires it or a child's safety is at risk.
Transfers outside the UK
Some of these services may process information outside the UK. Where they do, we rely on the safeguards the law provides, such as the UK's approved transfer arrangements.
How long we keep it
- Enquiries that do not lead to a booking: 6 months.
- Attendance, progress and homework notes: while your child attends and for 12 months afterwards.
- Payment and tax records: 6 years, as the law requires.
- Photos and testimonials: until you withdraw permission.
Your rights
You can ask to see the information we hold, have it corrected or deleted, restrict or object to how we use it, take a copy of it, and withdraw consent at any time. To do any of these, contact us using the details above. We aim to reply within one month.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
